Wheeler Staffing Partners is seeking an experienced Executive Administrative Assistant in Dallas, TX. The Executive Administrative Assistant is responsible for providing administrative support to C-suite level leadership and their direct reports which may include the Business Unit President, Sr. Vice Presidents, and Vice Presidents. This position is responsible for assisting the department in daily business activities and handling sensitive and confidential information professionally. This role is primarily ON-SITE.
Executive Assistant Responsibilities:
- Extensive and involved calendar, travel schedule management and decision making, and call resolution for Sr. Executives and team.
- Proactive, accurate & timely completion of routine daily, weekly, and monthly tasks as assigned (reports, internal control reporting, meeting scheduling/organizing/set up, etc.). Prioritize and present solutions to meet deadlines in a fast-paced environment.
- Prepares travel and expense reports for all supported leaders resolving all issues; reviews report for leaders’ approval.
- Maintains department functions including budget management, report creation and processing, department files, vendors, supplies, and equipment.
- Meeting preparation consisting of logistics, documents, presentations, catering, etc., and providing technical support to leaders with conference room equipment, when needed.
- Onboard/Offboard team members within their leader’s department including submitting all IT tickets for required equipment and appropriate software, office/cubicle, and desk phone assignment (if appropriate), facilitating setup for BTR training, creating new hire meeting schedule/agenda, reserving conference rooms, notifying receptionists of arriving/departing team members, etc.
- Serve as point of contact when providing internal and external representation of supported leaders to proactively resolve issues before they arise or escalate.

Executive Assistant Job Requirements:
- High School Diploma or equivalent required
- 5-8 years of experience supporting C-suite/Executive-level leadership
- Must be willing to work onsite.
- Intermediate MS Office required (Outlook, Excel, Word, PowerPoint)
- Dealing with Ambiguity – effectively copes with change by shifting gears comfortably, acting without having the total picture, and handling risk and uncertainty comfortably Strong interpersonal and conflict management skills.
- Strong organizational and multi-tasking skills
- Must be detail-oriented, organized, flexible, and willing to assume new projects.
- The ability to maintain strict confidentiality is required.
- The ability to interact effectively with all levels of staff and management is essential.
- Must be able to work in a sitting position, use a computer and answer the telephone.
